Every business has them: the same few questions, every day, from different customers. "How much?" "Is it in stock?" "Open until what time?" "Can I pay COD?" "How many days for delivery?" None of them is hard. Together, they eat hours, and they arrive at the worst moments.
This guide is about those repetitive questions: which ones an AI assistant should take over, which ones should stay with you, and what you need to prepare.
Why repetitive questions are expensive
- Time. Each answer takes a minute. Thirty a day is half an hour of typing the same thing.
- Slow replies. Customers ask while you are busy, at lunch or after closing. By the time you answer, many have asked someone else.
- Short, cold answers. The fortieth "berapa harga?" of the week rarely gets your friendliest reply.
- Important messages get buried. A complaint or a large order sits under a pile of "ada stok?".
Which questions an AI assistant should take over
The ones with one right answer that you have already decided:
- Prices and variants: the price of each item, size or package.
- Stock and availability: what is available, and what to do when it is not.
- Opening hours and location: including holidays.
- How to order and pay: the steps, the payment methods, whether COD is available.
- Delivery: areas, postage cost, how many days.
- Your policies: exchanges, returns, warranty.
Which questions should stay with you
- Negotiation: discounts, wholesale prices, special deals.
- Complaints and anything where the customer is upset.
- Custom quotes that depend on details only you can judge.
- Suitability and effects of health products.
- Anything you have not written an answer for.
A good assistant answers the first list and hands the second list to you, with the conversation so far, instead of guessing.
What to prepare
Start with one question: which questions do customers ask you every day that you are tired of answering? Write those down first. Then:
- Your price list, with every variant
- Opening hours, location and holiday closures
- How to order, how to pay, postage cost and delivery time
- Your exchange, return and warranty rules
- The exact answer you give to each question on your list, in your own words
Write each answer once. From then on the assistant gives that answer, the same way, every time.
What a safe AI assistant does not do
- It does not invent prices, discounts, testimonials or claims. It says only what you approved.
- It does not learn by itself from customer chats. Otherwise it could repeat a discount one customer once asked for. It knows only what you wrote.
- It does not chase customers who have gone quiet. That is the quickest way to get a WhatsApp number reported.
- It does not close sales for you. When a customer is ready to buy, it hands the conversation to you.
If you sell health products
Health products, including supplements, need extra care. Do not let anyone, human or AI, make claims about effects you cannot prove. Check the product's registration status and the advertising rules with the Ministry of Health Malaysia (KKM) before you advertise or automate replies. Let the assistant answer price and how to order, and hand questions about effects and suitability to you.
Three questions to ask any AI vendor
- If a customer asks something that isn't in the information, what does the AI do? The answer you want to hear: "It doesn't make up an answer; it hands over to you."
- Does it use Meta's official WhatsApp API, or a QR-code scan? Unofficial QR-scan connections can get your number blocked. See why cheap auto-reply apps get numbers banned.
- A fixed monthly price, or charged per message? Make sure you know the real cost as your enquiries grow.
